Softlink is committed to the highest professional standards for the protection of our clients' confidential information and individual migrant workers personal details as per codes 27 and 28 of the Code of Standards of the Office of Immigration Services Commissioner (OISC). Softlink confirms that all the documents, records and information provided by our clients will be kept confidential. These records and information will be passed on only to
Sponsor Casework Operations, UK Visas and Immigration (UKVI) in processing Certificates of Sponsorship/Visa applications/Entry Clearance/other immigration applications and to the
OISC, if required.

1. Data/Information Security of the systems/processes, that we use for collecting/ storing and processing the data:

We collect data from individuals and companies or employees authorised by you or your group companies to enable us to process your immigration applications. We treat such data highly confidential and store securely on our computers and files as per codes 27 and 28 of the Code of Standards of the Office of the Immigration Services Commission (OISC).

At Softlink, authorised personnel responsible for using data has to follow strict Data Protection principles. We make sure the information is used fairly and lawfully for limited, specifically stated purposes in a way that is adequate, accurate, relevant and not excessive.

2. Data Retention Policy:

We will only retain your personal information for as long as it is necessary to process your Service requests. For example, retention of your data is necessary for updating your Sponsor Management System with any change of circumstances of your sponsored migrant workers and your company details. Therefore, Data retention is necessary for the purposes of our legitimate interests or where we are required to do so by law.

We will actively review the information we hold and delete it securely, when there is no longer a legal, business or customer need for it to be retained.

3. Dealing with Third party/ country transfers (if any) and as applicable:

We collect data clients in order to process immigration applications to be submitted to British Posts/Authorities as per your instructions.

We use such Information to conduct our business and to provide you with the best possible services such as processing Entry Clearance visa applications for your employees.

Data transferred outside the European Economic Area are done though secure websites and with adequate protection.

4. Data Breach Notification Process:

At Softlink we are aware a personal data breach means a breach of security leading to the destruction, loss, alteration, unauthorised disclosure of, or access to, personal data. This means that a breach is more than just losing personal data.

We make sure that our staff understand what constitutes a data breach, and that this is more than a loss of personal data. We ensure that we have an internal breach reporting procedure is in place to make a through assessment; and to notify the relevant authority if necessary.

In the event a notifiable breach occurs it will be reported to the relevant authority within 72 hours of the organisation becoming aware of it.
